Problem

Photographers juggling 5–7 tools

Event photographers work with 5–7 separate tools for inquiries, contracts, invoicing, and gallery delivery. The result is chaos, duplicate data entry, and lost revenue.

Solution

One system, entire workflow

Multi-tenant SaaS with a 10-stage pipeline from inquiry to project closeout. Structured documents with e-signature, snapshot pricing, automatic profit calculation, Wedding Day Mode with countdown and push notifications.

Technical decision

Why snapshot pricing instead of a direct reference to the price list?

Package prices change over time, but historical reports must remain accurate. Each event "freezes" the package price at the time of creation — subsequent price list changes do not affect already signed contracts.

Business impact

Fewer tools. Less manual work.

Before

  • Inquiries, contracts, and billing in separate tools — duplicate entry and lost information.

  • Manual project status tracking without a unified business overview.

  • Administration that takes time away from actual client work.

  • Pricing and reporting errors from manual data transfer.

  • No clear picture of revenue, costs, and profitability per project.

After

  • Centralized operations — one system from first contact to project closure.

  • Process automation — contracts, billing, and notifications without manual copying.

  • Less administration — more time for creative and client-facing work.

  • Fewer errors — data is entered once and stays consistent.

  • Better business overview — profit, pipeline, and project status in one place.

This approach can be applied to photo studios, agencies, consultants, and other service businesses.
